Question: I am changing to a new mail server (or a new hosted service).

Answer
When changing email servers or hosts, don't change your MX record. Leave it pointed to www.vqnow.com (or for SA sites, your vq.xxx appliance address). Make certain that your new host understands this. For most clients, they typically redirect incoming mail to the new server. You don't want that! You only need to consider a few things that relate to your vqNow account:
  • After you switch servers, check the MX record again. Also, see if you can access the mail boxes on your new server (even if they are empty). Some hosted services disable your mailboxes if they see that your MX record is not pointed to their server. This is a serious flaw in logic that arises from the early days of the internet. This tip explains how to deal with the situation.

  • Do one of the following (not both):
    • If your mail server name has changed, tell us the new mail server name so that we can deliver mail properly. We prefer a name rather than an IP address. That way, you probably won't need to change anything the next time that you change the server or hosting provider.
    • If your mail server name is not changing (mail.mycompany.com), then it will probably be assigned a new IP address. Don't change the MX record for your domain, but change the 'A' record for the mail server name. It should point to the new mail server IP address.

  • See Item #4 on this page. It asks if your server is dedicated or shared (this is unrelated to whether it is local or hosted). If the server is dedicated to domains that are routed to vqNow, then it can relay mail from your individual senders. But first, we must add the IP address of the outgoing SMTP service to our table of trusted servers. If this aspect of your server is the same as your old server, then you don't need to do anything else. But if it has changed, then read further:

    • Old server was dedicated. New server is not:
      • Tell us the outbound IP address of the OLD server so that we can remove it from our trusted IP list. This is very important.
      • Reconfigure the email programs for your individual users as shown in step 4b.

    • Old server was shared. New server is dedicated:
      • Tell us the outbound IP address of the NEW server so that we can remove it from our trusted IP list. Typically, it is the same as the inbound IP address.
      • OPTIONAL: Reconfigure email programs for your individual users to send through your own mail server. You will be undoing the settings described in step 4b. We recommend this change. It is a good idea to use a local server when available, because it aggregates the transmission of multiple messages and improves performance.
